Conditions and Regulations of Venue Booking
1. Terms & Conditions
1.1. Applicants must be locally registered organizations, groups, or individuals in Hong Kong (including non-profit organizations or eligible businesses). Applicants are required to provide a valid Business Registration Certificate (BR) as proof of registration to verify their legal registered status in Hong Kong. The BR certificate must be clear, legible, and display a valid registration date and expiry date. Applications with an expired or incomplete BR certificate will not be accepted.
1.2. Applicants shall not transfer, sublet or share any part of the venue area.
1.3. Applicants must ensure that the events, functions, activities, or the conduct and behavior of its guests and participants would not cause disruption to the normal operation of Art Piece.
1.4. Art Piece will not be liable for any injuries to users and participants. Art Piece recommends that all renters purchase third-party insurance to protect against third-party liability arising from the use of the rented facilities.
1.5. Art Piece reserves the rights to reject any application, while it is not necessary for the Unit to give any reasons in any circumstances.
1.6. Applicants shall, upon returning the venue, restore it to a clean and original condition, including removing all debris and rubbish, food residues, and decorations. If the venue remains dirty or requires additional cleaning, Art Piece reserves the right to charge a cleaning fee of HK$500, which will be deducted from the deposit or pursued separately.
1.7. Applicants must pay an additional HK$500 cash deposit on the day of rental. The deposit will be fully refunded if the applicant signs out on time at the end of the rental period (i.e., leaves the venue) and the venue and equipment remain in their original condition, without any damage, soiling, or loss. If the applicant signs out late, additional overtime fees will be charged (refer to the venue’s fee policy for details). If the venue or equipment is damaged, the deposit will be used for repairs/cleaning, with any excess costs to be compensated by the applicant. The deposit will be forfeited in cases of breach of contract, illegal activities, or subletting. Tenants must comply with venue rules, be responsible for safety and any incidents, and must not alter the venue or equipment without permission. Art Piece reserves the right to terminate the rental, forfeit the deposit, and pursue compensation for losses in case of a breach.
1.8. Regardless of the reason, if Art Piece is unable to provide the venue for any reason, Art Piece's maximum liability shall be limited to refunding the amounts already paid by the hirer/renter. Art Piece shall not be liable for any related loss of profits, business losses, or any third-party claims.
2. Application Procedures
2.1. Please contact Art Piece for further information about the availability of venue(s) and rental rate card. Applicants may submit the completed application form through email to cs.service@artpiecehk.com.
2.2. Once we receive the form, we will confirm the applicant by phone or email.
2.3. Applicants are required to settle the 100% rental fee within 3 days after booking is confirmed. Otherwise, the booking will be canceled without any notice.
2.4. No refund will be made for any cancellation of booking or end its period in advance.
3. Bad Weather Policy
3.1. When typhoon no. 8 or black rainstorm signal or “Extreme Condition” is hoisted 2 hours before the booking time, all activities will be suspended. The booking can be deferred for future use without additional charge.
3.2. If typhoon signal No.8 or above, or Black Rainstorm Warning, or “Extreme Condition” is issued while the venue(s) in use, Art Piece will charge the rental fee as usual, regardless of whether the activity is affected or not.
4. General Regulations
4.1. The nature of the function must be legal and consistent with that approved.
4.2. The number of participants shall not exceed the room capacity as stated.
4.3. The following activities are prohibited inside Art Piece, including stairways and washrooms:
(i) smoking, shouting, chanting, gambling, throwing any object or illegal activities; and
(ii) any behavior that may disturb public order, obstruct passages or cause a nuisance to other people.
4.4. Cooking or serving of food or beverages will not be allowed in the venue apart from special arrangements.
4.5. Applicants must ensure that no pets, animals or livestock shall be brought to the venue area unless obtaining the consent from Art Piece.
4.6. Users are responsible for keeping the equipment and furniture in proper condition and the venue clean and tidy.
4.7. Applicant shall not set up any stage decoration, backdrop or equipment, or stick, mount or post any materials on any part of the venue area, which may cause damages or strains to building fabrics including but not limited to floor, walls, feature walls, ceilings, doors, windows, entrance, terrace, stairs and etc., without the prior written approval from Art Piece.
4.8. The user shall be liable for all reinstatement costs of any damage of the premises and facilities caused during the rental period.
4.9. Users should not use the venue for activities unrelated to the purposes they first agreed for. Any activities involving sale of goods and services are forbidden.
4.10. Applicant shall indemnify and hold Art Piece harmless from all claims and liabilities directly or indirectly resulting from any claims for infringement or alleged infringement of patents, designs, copyrights or other intellectual property rights brought by a third party in relation or attributable to any advertisements, posters, publications or marketing and publicity materials for the event displayed by such Applicant within the venue area.
4.11. Please keep your personal property, Art Piece is not responsible for any loss of property
4.12. Art Piece accepts no responsibility or liability for any events, functions or activities hosted or organized by Applicant in the venue and within Art Piece’s premises. Applicant shall be wholly responsible and liable for the use of the venue and for any loss, damage or injury caused to any person whomsoever or to any property whatsoever directly or indirectly through the act, omission, default or neglect of applicant or its participants and users and shall make good the same by payment or otherwise, and shall indemnify and keep Art Piece indemnified in full for all costs and expenses incidental to any claims, demands, actions and legal proceedings whatsoever by any person against Art Piece in respect of any such loss, damage or injury as aforesaid incurred by Art Piece.
4.13. Art Piece reserves the right to terminate or stop the use of venue and facilities by applicant and/or its participants or users if they fail to abide by these terms and conditions, or change the use, contents and nature of the event other than that originally stated in the confirmed booking.
4.14. The rental of the venue(s) at Art Piece does not constitute or imply any partnership, joint venture, or collaboration between the applicant and Art Piece. The use of the venue is strictly for the purposes stated in the application form, and Art Piece does not endorse, support, or promote the activities held by the applicant beyond the provision of the venue as outlined in these terms and conditions.
4.15. Art Piece reserves the right to change these terms and conditions at any time without prior notice. In the event of any dispute or difference arising as to the interpretation of the above terms and conditions or any matters contained therein, the decision of Art Piece thereon shall be final and conclusive.
